Moves management

Hi All,


Anyone have a good process for tracking moves management in webview... without the "search" modules or prospect tab/panel?


For example, tacking the prospect status...ID, cultivation, solicitation, and stewardship... should we track using attributes or possibly constituent codes.


Looking gor guidance and ideas.

    I was with an organization before that used Actions to track the moves.  The category was "Task/Other" and I believe we put the status (Identification, Qualification, Cultivation, Solicitation, Stewardship) in the Action Status field.  I think the type was "Prospect Status".


    The current status was always left open.  As soon as someone moved into a new stage, the current action was marked as completed and a new, open action added for the next stage.  This was in direct response to upper management's question of "how long did it take to get this transformational gift" and we could not report on it.


    We could always pull the status because it was so carefully defined with the category and type.  We would just pull the last action that was open with a category of task/other and type of Prospect Status, and display the Action Status field.


    You'll need to tweak it a bit if you are using NXT and have defined the actions so that "completed" is based on the status field.

    Prospect Status is viewable in NXT on the "Prospect management" tile. Are you choosing to not use that tile?

  • I agree with Evan, you should consider using Prospect Status. Then you can use the prebuilt insights to track how long constituents in a given portfolio stay in each stage. This will help identify gift officers who are effective at moving constituents along.

    Although I love the Prospect Status field and the application of date ranges - which was LONG overdue - you cannot extract that data into any reports.  So if you are able to direct everyone to view everything in NXT, then definitely use that field.  But if you need to extra the number of days that a prospect spent in various stages, just know that it will not be possible.

    So, this is a process that I learned about from Kate Hagen at Goucher College that we have implemented in the past 6 months.


    Whenever there is a "move" (from Solicitation to Stewardship, Cultivation to Solicitation, etc.) we enter a Task/Other action with the type of Prospect Management. Then in the attributes/custom fields, we enter the status they are in with the date of the change. As someone moves from one status/stage to another you are able to measure how long they were in the last stage or how long they are in the current stage.


    I export this data along with some other information into Excel and then created the attached report in Power BI. As I mentioned, this is a new process for us so we are still figuring out the right portfolio mix and how long they should be in each stage, but it is a nice way to visualize where work needs to focus.
