notification help

We want to set up some kind of notification that can be sent to our IT department when a contract is processed for a new student.  It can be as simple as somethiing I copy/paste into an email.  It has to be name, grade entering, grad year.  How would I create something so that I could go into the record in Enrollment Management as soon as I enroll them and create a message with the student info to send that to our IT department? 


A new student has been enrolled for the 2020-21 school year:

Middle Name:

Last Name:

Entering Grade:

Grad Year:

  • We use the automatic notifications in Enrollment Management.  In Enrollment Management > Communication > Notifications > Notifications tab > ReEnrollment Category, there is a "Online Enrollment Contract Submitted" administrative email that you can configure to send to certain staff each time a contact is submitted.  You can customize the message, but I don't believe that you can include all of the fields that you have listed below other than insert the student's name.


    However, our IT staff have read-only access to Core to extract the information they need to configure things on their end.  The automatic email notification prompts them to go to Core and lookup that student name where they can get entering grade, grad year, enroll date, and anything else they need.
  • Below is the message that that I have go to the different departments and divisions when a contract is submitted. Unfortunately, there isn't

    a way to add anything besides name and you can only do it for all contracts, not just new. Also, I only turn it on after the bulk of the contracts are in, otherwise they'd recieve 1000+ emails.

    I then turn it off turning re-enrollment and turn back on late spring again.

    I know I have added an idea about needing fields, but cannot look right this second for it.


    A contract has been submitted on behalf of _______ Recipients of this email, please check BBK12 to determine if the student is from your respective division.


    Please note, there might be a delay from when you receive this email until the student is officially enrolled by the Admissions Office. If you have Enrollment Management Access, you will see the student's information; however, in order to enroll the student in classes, they will need to first be officially enrolled.

  • We have Core setup to send an automated "Online Enrollment Contract Submitted" administrative email to our IT department each time a contract is processed. This gives them the name of a new student that they need to get configured. The email prompts them to open a saved student list in Core to then extract out the fields they need to provision a network account.
