Student Checklists
Has anyone used Student Checklists yet? I curious to see how well they work. What is the difference between a parent logging in to see how many forms they have to complete in the yellow banner at the top of the page or seeing a checklist banner at the top of the page.

Hi Coco, I'll let others chime in, but the big difference is that the checklists allow parents to keep track of things outside of forms that are due, such as photo release forms, field trip forms etc. They can upload documents directly to the checklist, and when everything is complete, we let them know by marking the whole checklist as completed. With the checklists, you can also assign a checklist to another staff within the school, so if for example, the athletic director should be keeping track of certain items, they'll be able to access them and see when they're complete.

Coco Parham We are using Student Checklists. As the admin, it is super helpful in getting a handle on which families have outstanding forms; it is much more efficient than looking form by form. I set up a Student Checklist at the start of the year as the container for all of the assorted steps required after a contract is signed and before the first day of school:
- Policies and Permissions
- Emergency Contact information
- Medical Form
- Profile Update
- Medical records / immunization records (state mandated to be on file with the school nurse)

Thank you! We have at least 8 school forms (depending on the student, boarding or day and their grade) and it looks like you have to create a step connected to each form. I wanted as much input I can get before I start this for 21-22 school year.0 -
Somewhat related. Has anyone successfully used the reminder notification email of a student checklist step? Tried having one setup to go on "Due date" of the step which was 3/9 and it doesn't seem to have sent to the test student or parents of the test student. I just created a case, but thought I'd ask in case anybody has actually successfully sent one. Related to reminders notifications, I confirmed through a different case that there is nowhere in the "Notification History" or anywhere else in the system where you can see if these things actually went out or not beyond having "test users" whose email boxes you can check. I was instructed to create an idea of course: Please add 'Notification History' for Student Checklist Step reminder notifications0

Hi Jamie, I'm glad that you reported it to support, I have not heard of notifications not going out and that would not be our expectation. As for the notification history, we'll be adding the student checklist notifications to the record within the next 2-3 weeks.

Hi,
I'm also trying to implement Student checklists in July for next school year and am wondering how to handle "Optional" items on the checklist. If that optional form doesn't apply to a particular student and thus is not ever completed, how does the checklist get marked as "Completed" and the yellow banner goes away? I will have several checklist versions as we do have different requirements for new versus returning students but there are forms, for example, an Allergy notification form, that is optional because we don't know which students need to have it completed so can't assign it only to specific students. Any insight/recommendations would be appreciated!

Hi, Mary. For optional forms, in the form settings, you can set the "Allow user to decline form?" to Yes which gives them the option to opt out of the form. If the student doesn't have any allergies, then they would use the decline button to mark the form completed with out submitting it. This causes the yellow banner to disappear for that form and marks it complete on the student checklist.
For mandatory forms, you would set the "Allow user to decline form?" to No which gives them no option but to enter data and submit the form.0 -
Thanks Geoffrey! The day after I posted my question is when I read about the new Decline option on forms so had started to look at using it as it will be very useful for our optional forms throughout the year. Hadn't gotten far enough in my testing yet to see that the Checklist item gets marked as complete when Decline is used so thanks for letting me know that! Love the idea of the checklist but am still determining how well it works for the way we do forms since some of our forms are assigned to each parent instead of the student which I think, based on my testing thus far, means I can't put those on the student checklist. More playing / testing to be done though! .Thanks again for the insight!0

Lauren, Did you create this checklist in Enrollment Mang. and then attach to all current students? Or is there a way to do it in Academics?
