Historic grades on transcripts

Could anyone give me some advice on the new transcript builder and inputting historic grades?  We're in our second year of using the SIS and LMS, and while we input all of our historic classes and entered information for our upper school students as transfer courses I can't get the GPA to calculate, can't reliably get classes to show, and am still having to do transcripts by hand in Excel in order to get them to our students who are applying for college.  I've put in a support ticket, but they are insisting that I use a final grade to calculate GPA - which we don't do.  It (Cumulative GPA) works fine on last year's classes in the transcript and shows correctly.  We do a cumulative gpa based on the grades earned each term.  We're also on trimesters, so I haven't even touched the nest of trying to get actual transfer students who come from schools on semesters into the transcript system yet.

Advice or examples much appreciated!

  • I am not sure if this will work for you because we do only use the final grade to calculate GPA but, When we did the grade import we used the following format to get our historic Quarter grades  and our Final Grade into the system.  We brought them in as transfer grades:


    The header we used was as follows:


    User_id, Firstname, Lastname, School_Year, Level_Decription, Grade_category, Term_Name, Term_grade, GPA, Course_Code, Course_title, FInal_ Credit, Transcript_ Category, Organization_name, Begin_date, End_date, Compulsory_Credits, gpa_points


    Then we listed every students grade by line for example:

    123212, Minnie, Mouse, 2018-2019, (our school name is our level description find out what yours is), 9, Final,91, Use Final Grades, 1101, English 1, 5,5,English,,,

    123212, Minnie, Mouse, 2018-2019, (our school name is our level description find out what yours is), 9, Q1,89, Do not include, 1101, English 1, 5,5,English,,,

    123212, Minnie, Mouse, 2018-2019, (our school name is our level description find out what yours is), 9, Q2,93, Do not include, 1101, English 1, 5,5,English,,,


    and so forth for the entire students record.


    What I am suggesting is this, since you use trimesters to calculate your GPA why not label the trimesters as Use Final Grade and see if it will use the terms you want when calculating the GPA.I didn't want the Quarter to be included in my GPA calculation so I said Do not include. Maybe just labeling it as final grade will allow for the calculation to happen as you wish.  Try it with a test user and see.   


    The only reason I am suggesting is our consultant was really specific about putting Use Final Grade when we wanted something put into the GPA and Do not include for those that did not.

  • We used the Historic Grade Import as Transfer grades and “Use Final Grade” also. Have you had any luck figuring out how to import attendances (absences for each year) to include on the transcript?

  • Sadly, we’ve abandoned the transcript option, as our transcript needs are so custom that I haven’t found any way to make it work and we are still using good old excel.
