Withdrawals and Enrollments in Same Year

Hi there,


Our school uses Education Management Solutions (On Suite) - Enrollment Management to create our enrollment contracts, and are integrated with Smart Tuition. Wondering if there are other schools using same and I would like to find out how you process a student that enrolled, withdrew and then wishes to re-instate enrollment in the same year. 


Would appreciate anyone's input even if you do not use On Suite or Smart. What would you do in this case. Would you create a new contract or have family sign a "addendum" or a form you have created specifically for this purpose.

    We also use Enrollment Management with Smart Tuition. If the student withdrrew before a contract was signed, we create a new contract. If the contract was signed, we add a note to the signed contract indicating the date withdrawn. For students who then re-enroll we update the note on the contract and activate the student in Core and Smart Tuition.

    way, however our CFO wants to create a new contract with the
    prorated amount.



    I know that you cannot create a 2nd enrollment contract for a
    student. Very frustrating.

  • Hi there~

    We create a second enrollment contract that is not integrated with Smart Tuition.  It reflects the pro-rated amount.  Then our finance department updates the ST account with the correct tuition, fees, etc..  We end up having two contracts for the same year on the student contract tab in EM.  One integrated (the original one they signed and submitted) and a non- integrated (reflects the new tuition amount and fees).  Hope this helps.

  • Hi!  I have attached a pdf as to what it will looks like.  It is a workaround and it does work as long as you make it NON-Integrated.  Yes, I re-enroll them through CORE, then add the contract.  Their role status changes back to student. In CORE there is a really great button called Re-enroll.  It is less complicated.    Hope this helps.

    This is great thank you. What would happen to the original contract? If student withdrew, status would be withdrawn. Then student reenrolls do you change the status of the original contract? Or is it left as withdrawn in students profile. Also would this mean that student will show twice when pulling enrollment reports? My Director of Admissions does not want student to show as having two enrollments. 


    Apologies for the questions. I work with student billing and Smart Tuition. The problem is also with the status of the student. We need to show that the student withdraw on a specific date and then reenrolled (in the same year).


    I have a couple more questions for you and was wondering if I could email you or even call you.
