add campaign field data to posted gifts

From KB it looks like the only way to add a campaign to gifts that are already posted is to unpost gifts, add campaign, and mark as posted again. I was hoping it would be possible to do through gift import.


The campaign field is currently blank on about 2500 gifts that they want to have new campaign as part of the gift record for reporting. 


Has anyone found a way to do this via import? I have unposted gifts before but am not a fan of this huge project and potential for error.  I know I'm going to divide the gifts into a number of queries just for my own comfort at least to start with. And will request a back-up of files before I attempt.

  • Best of luck!  My first instinct supports the un-post them, add the info, and then re-post, but perhaps import could help with the entry step?

    Try importing the campaign to just one gift.  That is a quick way to find out!

    Adding campaign can't be done by import to posted gifts. I tried it several times with a couple gifts before I looked at other options. Would have been the easiest.

    Came here to say what Heather MacKenzie‍ has said.  In database view, use the Un-Post Plug-in (with a static query, or you'll unpost all gifts!).  Then using the Import feature, create a gift import file to update the Campaign field.  Re-post the gifts through a global gift change.

    Project completed!!!!!  HUGE RELIEF!!!


    I did have gifts divided into 8 static queries based on fund category. So glad I was working with under 500 in even the largest query as there were a number of exceptions in all but the smallest query caused by split gifts and gifts with pending adjustments.


    Based on each query I unposted gifts, ran a global change to add campaign, dealt with exceptions and then ran global change to replace Not Posted with Posted. (One exception there was a gift marked do not post.)  Worked well, just took a while.

  • Nice! JoAnn, I am "taking notes" on this forum, but wanted to ask whether you have Financial Edge as well at your org? We don't normally un-post gifts, but I have noticed the field is greyed out normally after being pulled over to FE. Just curious for my own reference if that affects the plugin at all?

    Yes, we use FE. I don't know if that specifically affects the plug-in in any way. Not a normal or common practice for us either to unpost gifts but needed to add campaign info.

    Faith Murray‍ - Posting gifts to FE is a one-way communication from RE to the GL within FE. Unposting gifts within RE has no effect on the information already posted to the GL. If you un-post a gift in RE, you can post it again to the GL.
