Multiple Constituent Profiles at Once?

Does anyone know of a way to run multiple constituent profiles at once without having to enter each individual record and running the profile report? My Development department would like to have profiles for large groups of event attendees without having to go through each record. Any suggestions?

  • Hi Gary Ragan‍,

I don't know of a way to run multiple Constituent Profile reports at once. However, if your Development team knew specifically which fields they were interested in (or maybe they could narrow down somewhat from everything on the Constituent Profile report), then you could create a version of this using Smart Fields, Query, and Export. Setting up the Export Definitions that first time would be a bit of un undertaking, but it's something you'd only have to do once.

I mention the narrow down part for two reasons:
    • Fields like Constituencies and, say, Phones and Email could spit out a number of values. Someone might have quite a few Constituencies. Maybe just narrower it down to a few relevant ones. And phones and email, if you need those, maybe just the Primary ones on the record.

    • And also because it won't output in quite as nice a format as the Constituent Profile does. As you know, it'd be in a spreadsheet and might look like jumble. So if they can think about how they use the Report and simplify down to the fields they need, then it would be less clutter for them to sort through.
      • One thing to note, if you go to the trouble of making the Smart Fields and Export Definition, then maybe this next idea won't sound like insanity. But you could also create a document template in Word and incorporate Merge Fields. Then just use the Mail Merge Wizard to tie your Export Excel file to the Word doc. So basically, you could create your own Constituent Profile report and then populate it with fields from your Export.
Does that make sense? My brain is hitting a mid-afternoon slump and I don't think I'm explaining that clearly. I need to go for a walk (which really isn't info you wanted or needed to know). So if this was unclear, just tag me in a comment or message me.

    Good luck.

  • Thanks Chris,

This is exactly what we ended up deciding to do, all the way down to using a Word merge to make a more digestible output for each person. Great minds think alike! If anyone else has any need for something of this sort I recommend this solution.
