Recurring Gifts Receipting

We are entering in our recurring gifts and were wondering what everyone's best practices were? Realistically, we want our recurring gifts to get processed with no receipts, but at the end of the year, we want a recurring gift receipt total to populate. Is there any settings where we can do this? Thanks in advance

There are different ways to go about it.


What I do is have recurring monthly donations marked as 'do not receipt' in the batch. (I do want annual recurring receipted at time of payment.) Come December,/January I run a gift query to group together all those gift type recurring pay-cash, do not receipt, gifts made that year. I run a global change to change receipt type to consolidated if it was one per gift (Bio 2). I do another global change to change 'do not receipt' to 'not receipted.' Then I use that query in Mail > Receipts and generate one receipt for full amount. My letter has text explaining this is receipt for gifts received via bank draft/credit card during the year 20XX. If more documentation is needed such as gift fund, date etc. you can print out a an annual statement.


Change receipt type back to 'one per gift' if they might give other gifts that should be receipted at time.


NOTE: You can NOT use consolidated receipt option with a conditional merge receipt. Must be simple, one letter merge.


Static query is good idea should I forget and do things out of sequence and change a dynamic query to 0 results. (Like printing envelopes, change receipt type if needed.)

I've used this process with slight adjustments for years. Works well for me.

We do not receipt throughout the year. In January, I do send out an annual statement (in reports) with letter. In the letter I detail their current arrangements in case they would like to change. Most of our recurring gifts have no end date.

Hi Brenna Blake‍ - We also acknowledge all recurring gifts on an annual basis - by January 31 of the following year.

We acknowledge recurring gifts on an annual basis. Records are coded using an acknowledgement preference of annual tax statement. A letter & annual tax statement report is sent to the donor by January 31.
