Honor/Memorial letters

I run a Honor/Memorial Contribution report to run the letters. I do this monthly. When I run the report I get a different information if I export it.

How does anyone else run their letters so it is not as difficult at the end of the month?

We send cards instead of letters, and we do this weekly. We keep track of the information in an outside spreadsheet as gifts are entered, and then use the spreadsheet to merge into word to print the cards.

We send the letters out monthly as well. When running the report, we always set them to acknowledged so that they don't pull through the next time the report is run. It's not a difficult process for us at all, as we generally just do some minor edits to the letters, and add a list if we have over 3 donors for an honor/memorial so that we don't have to create multiple letters.
  • Austen Brown‍ can you e-mail me an example of your cards? We hand write every single card, but were looking at a way to do a merge and print, my e-mail is lfardella@fulfillnj.org

I am guessing this is part of the tribute module? We do not currently have that but I am requesting we add it due to the number of memorials we get.

Currently, and honorarium or memorial goes into a special fund and I note the person in the reference field. I then run acknowledgement letters a few times a week and the letter pulls the reference field into the body of the letter to note for whom the memorial is. If we have someone from our school that has requested gifts be sent to us, we track this information in a Word document for a special card to print. If we have more than a few I create a separate table with the card to provide to the family with the addresses of all the donors.

I am hoping the tribute module will help reduce the amount of work on the backend for me to track these things. Hope this helps!
  • We also send cards and have the Tribute module. From Mail, I use Export instead of Merge to get my csv file. I have a Word templates for both the card and envelope set up to match those fields, so it's pretty simple. I usually do it once or twice a week.
  • We have a separate Acknowledgement letter that runs from the daily report query for that batch. We run them the same way we do the donor thank you letters on the same day.

  • Miki,

We have so many tributes here that it would be impossible to keep up with the acknowledgements without it. I recommend it.
