Account and Project record level security

As part of our continued efforts to move more fully into the webview we are examining the use of record level security. If your using this capability today, could you reply with how you use it today? I of course have my thoughts on why it is used but am curious if I am missing anything.

  • Once we get expense management up and running I intend to use account and project security to limit what accounts and projects users can select when editing general ledger distributions. I am using a query to define which accounts a user may use. I then associate that query on the user record account security tab to specify which selected accounts the user may work with.

  • We currently do not restrict accounts based on users as the only individuals who enter data into FE are finance staff. I am curious as to how others use this feature. However, we do restrict accounts for projects and would love to be able to restrict accounts for grants. We use queries to restrict accounts to projects. It would also be helpful if the grants could be restricted based on start and end dates. We currently use queries to double check but sometimes that is missed as well.

  • We use account and project security to limit access to data for staff who are logging into NXT as a read only user to see budget & actual reports for accounts they oversee. They only have Dashboard and Reports available to them in NXT, both of those automatically filter to only the accounts we have given them access to. We created a couple of basic reports that work for anyone, save them as favorite reports in the read only user login, and then they just run them as needed.

  • Where exactly is the account & project security located in database or web view? This is the main reason I haven' used dashboard feature yet, I didn't know how to limit it.
