Substantive vs. Nonsubstantive

Has anyone figured out a way to add the options of substantive and nonsubstantive to Interactions or Prospect Plans? My team would like to see these two options for moves managament and I am stumped on the best place to add them into the database.

  • I saw these managed using an attribute and attribute extension at a previous institution. It worked pretty well, but you have to be sure you add the extension to all of the various add/edit forms for interactions if you want to make sure it gets tracked. You should be able to add the attribute to queries, but probably wouldn't see it in standard reporting. I'm happy to give you more details on how I managed that previously if you're interested in this option!

  • Thank you Ruth. This is very helpful! I am going to test this in the staging database to see what works best for my team. I am definitely interested in hearing how you used/tracked these. I am ready to learn. ?

  • Hi Cara - let me know if you have any questions about set-up, I'm happy to help! We used these mostly for tracking metrics/KPIs, so we had criteria that looked at whether the interaction was marked substantive in order for it to count towards the fundraiser's goal. This was in BBCRM so we had a bit more flexibility with creating dashboards and reports, but the attribute extension works the same way in Altru so I think you could at least add this to your queries and use it as a field in any reports built with ODATA links.

We did run into some issues with validating whether the substantive field was being applied correctly/to qualifying interactions, but I think this could be resolved with training and documentation and doesn't necessarily require a technical solution for validation. We had some audits set up to look for interactions marked substantive that didn't meet the actual criteria (like didn't have notes populated or wasn't associated with a particular interaction type) and that helped us identify anyone who might need follow up or retraining on how to use the field.
