Academic Probation

We are a grade 6-12 independent school. We are having a difficult time finding a way to “tag” students who are on academic probation. We would like this information live in the system and ideally keep historically. I would appreciate any thoughts about how your school handles this? Thank you

  • Hi Maureen,

    There are a few ways you could do this. You could create an infraction of Academic Probation in the Conduct area of the system and apply that infraction to students as-needed. I think, however, that the infractions are tied to the school year so you may not see them perpetually on the record.

    The other area that may be useful especially if you do not want to use conduct, would be to utilize the profile notice. You can add those in Core via the Contact Card, and you can configure role access in the Publish Profile Access settings.

    You could also use an Official Note, as these will stay connected to the student record and you can also adjust role visibility for different kinds of Official Notes.

    How are you determining which students end up on academic probation? Depending on that, you may find official notes the best option because you can bulk-add those via the data import process as well.

    Hi @Maureen Dube - if you only need to keep track without having it visible to a large number of individuals you could use admin view only fields (Core > Settings > General settings > Custom Fields > Admin view only fields).

    The only drawback is that admin view only fields will only be seen by users with the Platform Manager Role for reporting purposes.

    @Maureen Dube - An Official Note will give you a permanent historical record.

    You might also consider using a Learning Profile. You can include a filter for a specific Learning Profile ina SKY List, which can in turn be used to generate a set of report cards. (This would allow you to extract a set of report cards for the students currently on probation.) You can control the visibility of the learning plan so that students and parents don't see it.

    I don't see a way to filter a SKY list based on an admin-viewable field.

    As @Jess Moxley suggested, a profile notice would be helpful to remind current teachers of the student's status.

We're also trying figure out a way to track Academic Probation, as well as missed work recovery plans, danger of failing, etc. Currently we track these in various spreadsheets, but having an internal tag that is reportable would be extremely helpful. @Brian Gray and @Jess Moxley, thank you for the great suggestions! @Maureen Dube, I'm curious if you've had any success with the suggested options?
