Parent ID's

My question is not directly related to the software system however, I'm curious how many of your admissions departments handle personal identification within the Enrollment Management portal. Our protocol is to scan every parent of the candidate through Megan's Law (a sex offender website in California). We ask for a copy of the parent's driver's license or passport to be uploaded to their checklist. Our previous director of admissions always stated this was legally not allowed to be saved as a digital copy and we need to delete it. Does anyone from California have any knowledge or understanding of our legal responsibility with regard to this?

Similarly, we all probably ask for a copy of the candidate's birth certificate and keep that in the record. How does this differ? I would appreciate any professional feedback that you may have.
