Diversity, Equity and Inclusion (DEI)

We want to be able to add DEI demographic information that we gather from our grantees to BBGM as we carry out our vision for an equitable, vibrant and sustainable Baltimore community where people and places thrive. We are using the chart below to survey grantees on the number and racial demographics of staff. I've been at a loss as to how we should enter it in BBGM and where it should “live." The data should be on the Organization record because it will be dynamic, changing from year-to-year. But we are including this chart in our online grant request application for LOIs so it could “live” on the Request record. Most of all, how do I marry the two categories so that I can get an x and y axis and numbers in the categories. Any ideas are welcome.

  • @Sheree Norton Unfortunately you're not going to be able to get this to look so neat on the online application form. You can put fields side by side, so could have something like this:

    Text on the form: How many … Asian?
    Questions on the form, side by side: #Board __ #Staff __ etc

    If you want it to look tidier you'll probably need to give applicant's an excel spreadsheet ot Word document to complete and upload. If you want to pull out these numbers in a mail merge or to Excel, you'll need to copy them into BBGM. If you only want the numbers whilst considering whether to approve the grant, there's no need to put them into BBGM.

    Regarding where to store the infomation in BBGM - you need to decide if you want to keep a history of the numbers or not. If you want to be able to look back over the history with one grantee it would be best to keep numbers on the Request. This way you have numbers for each Request and can compare between them.

    If you only need to know the “last” set of numbers then the Organization record is OK to use, and overwrite the previous numbers. I would recommend having an “As of” date field so you know when those fields were last updated.

    I hope this helps, feel free to message me if you need any extra info.

  • @Kim Hook

    thank you for the ideas. especially on where to maintain the information.

  • @Sheree Norton We've done similar to what Kim has suggested - and have kept them as request fields so we can monitor changes over time

    @Sheree Norton
    We have custom codes at the org and request level. We wanted to track the orgs commitment to DEI while also understanding the specific request. We find that sometimes the orgs might not meet our definition of DEI, but their specific request is. We like to tell the story of our orgs and the requests.
