Adding Prospect Research Documents to NXT as Attachments
Hello all! I hope all is well! Question regarding saving prospect research documents in RE NXT. Is it best practice or common to save prospect research documents as attachments in RE NXT? Some staff is concerned about confidentiality of the sensitive information being saved on the donor's record (as an attachment - ie ResearchPoint info and other findings), while others thinks its ok. Hi, @Lanetta Gilder. We had a conversation with our BB reps about this a few years back. It was determined that anything that is attached to the record becomes BB proprietary data and is deleted with the rest of your data upon ending the contract with BB. There was not a clear path for recovering or walking the data, as other CRMs may not include this attachment option. We decided it best that we keep digital profiles in a separate, secure cloud drive and make certain the information within the profile stays updated in notes and other fields within RENXT as needed for the DO. I completely agree with the point that @Jessica ChannellIler brought up. My organization migrated from Raiser's Edge to Altru (which is another Blackbaud product). Even in that migration between two Blackbaud systems, our attachments did not transfer over. So anything you store as an RE attachment, if it is really important, I would store it outside of the system instead or as well.
To your point about privacy, I do put a summary of my prospect research findings into our CRM as a Note. My full report is available in a folder on the server. That has notes that are basically for me as the prospect researcher in case anyone comes back to me with follow-up questions. But then I provide a report to my gift officers that has the information they need to know. That version is saved on our server and as a note in the CRM.
