Assigning Action to a group of Consituents

Hi All,

Wondering if anyone knows of a trick to assign an action to a Group of Constituents in webview?

To share some background, we are mailing out an update regarding a program we fundraised for and launched at our hospital a year ago to all donors who supported. I want to add an action to each record sharing that the letter was mailed, with a copy of the letter itself shared within the action.

@Kylee Hamilton This can be done in Database View, but I am unaware of a way to do this in RE NXT, but then there is little of this kind of thing that can be done in RE NXT.

Regrettably, database view doesn't give the option to attach the letter, which is I hopeful to do!

RE NXT doesn't support “importing" record (action, custom field, etc) to a bunch of constituent records. SKY API can be used to do so, if you want to investigate on doing this “dev” work, either yoursevles or consultant.

If not using custom work, you can use db view to import, you will not be attaching the letter. One method to handle this is to upload the letter somewhere else (i.e. intranet, cloud storage, org's website asset), and put the letter's URL into the note of the action, also get imported via DB view import function. This way, on the webview, the URL (same for all constituent that got the action) will be visible and clickable.

@Kylee Hamilton If you are just adding an action and a note and if you have the constituents in a query as opposed to importing in database view (as Alex said), you can do a global add and enter the action and notes. More simple than importing. Since uploading all those letters can take up space, Alex suggestions would be much better.

Not sure if this would work for you, our One to Many app (a free tool) that you can connect from the marketplace, adds add the same action to more than one constituent or a constituent list, all at once in NXT.

If the letter itself is not different from one constituent to the next, I really don't see the need to attach it. It could easily be pasted into the Action Notes and visible to everyone very easily in webview or database view. Even if you could attach a PDF of the letter in webview, it would not be visible in database view.

On the app page, it does not look like you can add attachment, can you confirm?

@Alex Wong Here is a screen shot of the app. It does not look like you can add an attachment. I have used the app for other global action adds and it works great!

Thanks for the screenshot, I wasn't sure if there are other “page” of the app that does the attachment upload so I was asking the app company.

@Henrietta Hawkins if your app currently doesn't do it, it would be a good feature to add to the app, maybe a paid version of it. Curious question, does this uses the client's API limit of 25K per 24hr? (cuz that may limit the number of constituent you can add to)

The letter is very stat heavy, with charts, graphs and photos which cannot be copied and pasted into the notes.
