Non-Constituent Records

We're trying to figure out how to effectively manage prospects. We deal with a lot of volunteer fundraising and want to effectively record information in the database when an ask is declined, or they aren't a good prospect going forward. We know that if we add lots of constituents, we are going to end up paying more for the system. Does anyone have any good ways of managing this to prevent having to add them as a constituent when we don't think they'll ever turn into a donor?

  • @Kelly Hunter I know you asked this quite some time ago and may have already determined that your answer, but there's always value in adding an answer for someone else to find when searching this topic. Creating large numbers of prospects as constituents is definitely something that many want to avoid!

A few things that I have seen organizations do:

Totally makes sense. Our issue is that we have a volunteer driven non profit, and we have about 7 different groups of volunteers that fundraise for different things. Having a single place where they cross check to ensure that they aren't overlapping is what we're attempting to do. Right now, we're using a spreadsheet for prospects, which isn't ideal, but keeps us from having too much stuff in NXT until we have a better process :)

    thank you for the reply!

  • @Kelly Hunter Totally understand! Hope you can find a solid solution for you.
