K12 Policies and Procedures Manual

It looks like there are a lot of schools looking for input on how schools handle their Policies and Procedures Manual (or lack thereof for such a document) when it comes to “how do we handle all things within Education Management of Blackbaud?” From what I can tell there are numerous topics on this discussion and I'm opening this as a NEW one for 2023.

My goal is to build an entire manual this academic year and I'll be HAPPY to share it. In the meantime, I hope to find others that would like to collaborate on this topic at BBcon in Denver. I'll have a rough table of contents ready by then and will start building it out. Or if anyone has a manual and is willing to share, please chime in!

Our manual will include things like:

• When/how to add new/remove employees
• Back-to-school forms and info collected, who builds & assigns the forms, who collects the info
• Admissions: review steps for onboarding new families from inquiry form to checklist to application to contract
• Teacher expectations: class pages, topics, attendance, etc
• Contact cards - who/how are contact cards updated
• Schedules - how to handle schedules for two year olds through 6th grade with Random schedule, and Block schedules for grades 7-12
• Student/User lists
• Roles - who manages/changes, etc
• And the list goes on and on….

@Betsy Sidebottom Hi Betsy, We are working on this as well. This year I'm trying to focus our Data Committee to really get everything written down. We do have some of this in place and store it in our Data Committee Group in the LMS. I'm also happy to collaborate and will be at BBCON. I'm presenting about Data Committees with @Tom Mach and @Timothy Strunk this year.

Forgive my ignorance but I'm trying to figure out if I reply to my own post whether or not others are given notice that this topic was updated? Or will I need to take each person's name? I have a file to contribute for the Roles item. It's less of a policies/procedures doc and more of an institutional redundancy and transparency doc. However, my policy at the time was that I would not enable a role for someone until they had either completed relevant BBU training or sat with me for in-person training.

As a former Platform Manager – and not as a formal Blackbaud recommendation – I have an old permissions doc that I created back in the day:
