Issues with Enroll in Transfer School

So I am just putting this out there so Blackbaud is aware of the issue this creates. When I have a new high school student, I have to enroll them in a transfer school to enter their transfer credits. Here's the issue. The first time you use “Enroll in Transfer School” it requires an enroll and depart date. Because it is required there, I assumed it is required. Please remove this requirement! In “Edit transfer school enrollment” it is not required and can be deleted, but there is nothing that tells you the issues that the dates can cause if you don't remove them. Here are the issues I have had:

  • The depart dates for transfer schools actually “trump” the graduation or withdrawal dates on transcripts. It seems crazy to me that the program should make the transfer school dates have priority over the actual enroll and withdrawal or graduation dates of our school.
  • For those of us in Georgia, it causes all kinds of trouble with the report we send to GAFutures for the HOPE scholarship. Most issues I have had comes down to an enroll or depart date that I forgot to delete. Besides faulty graduation dates, it sometimes listed a transfer depart date as a withdrawal date even though the student was enrolled and GA Futures read it as a withdrawn student.

When I finally realized I could remove these on the edit I had to go through and do that with everyone. Now, when I have to “Enroll in Transfer School” I immediately go back and edit those dates. I would prefer not to have to enter them in the first place.

    The enroll date is used to control the sort order of enrollment rows on both the old transcript builder and the new transcript builder. Here's a quick visual, assuming you're ascending by date:

    If the transfer school enroll date is before the school year start date (Core > School Information > Years and Terms), it will display first. If the transfer school enroll date is after the school year start date, it will display beneath.

    The regular school year start/end dates are provisioned in Core with a start date of 8/1/xxxx. Which is typically earlier than what you'd likely be typing in for a transfer school enroll date.

    The school year start dates in Core can be adjusted for current/prior years, as long as your term dates fall within the designated school year start/end dates.

    I wonder if adjusting the school year start dates in Core for prior years will at least resolve the issue you're having with HOPE reporting. If you'd like to message me the specifics, I am happy to take a look! I'm working with another Georgia school now, so this is something I will need to familiarize myself with.

  • @Kristen Duval My point is that they are unnecessary and should be optional, not required. There is no benefit on my end and entering them created a lot of issues.

    Got it! Sorry, I thought you were looking for feedback. That does seem bizarre that it's required on entry but can then be removed.
