GPA New Report Card View Issue Beware if you haven't noticed

We noticed that when our New Reports cards do not yet have view dates for Parents and Students for a Quarter that is about to end, and teachers are starting to enter grades, that the parents and students can still see the GPA for that Quarter if they open the report card. Blackbaud Support just said this is working as intended. This makes absolutely no sense. This means that the GPA could be incorrect, say if only 3 teachers out of 6 teachers have entered/calculated their grades, since the GPA would be calculated just off of those grades entered. Did anyone else notice this?

  • @Josceline Reardon I did notice this occurring at our semester end, but did not realize that it is visible to parents. This is a HUGE issue if it is indeed the way the GPA visibility works. BB, please address this if needed.

In this screenshot below, no access dates were set for Quarter two since teachers were entering grades, but you can see the GPA still shows for quarter 2 when the parent or student view the report card. Blackbaud said they can't restrict access to the GPA and it is working as intended, which makes no sense since the GPA should be tied to the report card access if it is on the report card.?

  • @Josceline Reardon - we have different report cards for each marking period, and we do not have future term grade columns on them. Only our year-end Final has all the columns. So, make a Q1 report card, and do not put Q2, Q3, or Q4 columns on there. Repeat for each quarter.

    Grades and attendance are live data and do not “archive” at a moment in time for which the report cards a published. We happen to be semester based, and we show attendance on report cards but ONLY at the end of each semester (before it resets for the next term). Else, the Q1 attendance value would be incorrect (it would not be the value at the end of Q1, it will actually display Q2 because it is pulling everything for the entire attendance term).

  • @Josceline Reardon is it intentional for your Q2 term GPA to be listed on your Q1 report card? Do you only have one cumulative report card? If that is the case and you only have one report card throughout the school year, you may want to close access while teachers are entering grades for the new term. For us for example, we have one Semester 1 report card (with only semester 1 details) and then a separate cumulative report card at the end of Semester 2 which includes Sem 1 and 2 details. They are two separate report cards and therefore two different access dates, so our parents would not see semester 2 grade details when they download Semester 1 report card.
