Gift Adjustment to Change an Appeal - Pre-posting Report & FE Post Question

Hi all,

We occasionally have gifts we need to adjust Appeals on. We have a set process for doing most kinds of adjustments. But we have left appeal adjustments untouched because the Business Office is worried it might show up on the Pre-posting Report or repost to FE.

My goal is to complete a gift adjustment on a gift's appeal specifically, without reposting it to FE or showing up on the pre-posting report.

Our standard process is to:

  • Open the gift
  • Select adjustment
  • Roll back the dates to the original post-date
  • Leave Adjusted GL-Post status as “Not Posted”
  • Change the field that needs to be changed
  • Save

If I understand what I've read in the Knowledgebase to change the appeal without having it post to FE or show up on the pre-posting report, I would just change the Adjusted GL-Post status to “Do not Post”?

Can anyone verify this to be true? I'd appreciate anyone who has an example I can reassure my organization's Business Office with.

    @Rachel Kauer Your process sounds correct to me.
    I regularly have to adjust appeals but it is okay with finance that it appears on the FE / post reports. (We back-date as well to original gift date.)

    The other option I have used that requires extreme care is to unpost the gift(s), change the appeal and then mark as posted. Again this was in agreement with finance. I take a screenshot of query showing the gift details before changing and again after and send in an email to team member who does the posting just incase some thing goes wrong when she posts. Have never had a problem.
    There is a plug in called ‘Unpost gifts.’ One would have to have rights to use and be 100% sure you select your query or you could unpost everything. There is no check on this before it happens. (RE will ask if you want to change a primary org to a different one but not ask if you're sure you want to unpost every gift!!!)

    I am in Finance and just did one of these appeal adjustments in Raiser's Edge today. I used the status “Do Not Post”. You are correct that it does not show on the post report for FE. Once saved, the adjustment cannot be deleted or edited.

    Thanks, JoAnn, this sounds like an excellent suggestion! I have a feeling our business office will not be agreeable to it. But I will look into this more and run it by them. Even very minor changes are a big upset, my quota is like 3 data entry errors/corrections a fiscal year and I am on four right now, mostly from donors changing their mind about split funds XD.

    Thanks for confirming Laura! My FE counterpart does not want anything showing up anywhere other than on the canned RE Adjustment Report itself. Thank you also for the warning about after it is saved!

    Just to be extra sure, is there anything you can think of that shows up anywhere in FE as a result of doing this that you have seen?

    I see, then I understand why they don't want appeal changes to trigger more transactions unnesscarily. Replies you got already have few paths you can take, good luck.
