Applicant Portal - Workflow Documentation

Is there any documentation related to program workflows in the new applicant portal? I don't see how to add a new workflow or workflow levels. Not sure when would want to use a new level for that matter. I'm looking for some basic guidance on how to progress through a customized workflow.

@Valerie Marshall Hi Valerie! We have a “Program Setup Worksheet” that you can use to help set up your programs. Each application workflow is recommended to have a corresponding program set up. You can head here: Blackbaud and under “New Applicant Portal Experience” you will see a variety of resources, including that worksheet. There was also a session on this topic which you can access on demand as well as an Instructor Led Live Training here: Grants Manager / Blackbaud Grantmaking - Blackbaud University.

    Hope this helps.

I've reviewed the setup workbook, which is helpful to convey options to the rest of my team. I've also completed both BBU training courses. All of that just says “choose the default workflow and level". I'm looking for how to have multiple workflows (grant goes to board for approval v. grant approved by staff) and understand when I should add forms to the existing level or create a new level. (And how to create that level.)

    Reading

tells me to choose the workflow to use - but there's only the default, and I don't see a way to create a new one.

    Your guidance is appreciated!

@Valerie Marshall Workflows are unique to each program, and that becomes the default workflow for that program. These workflows do not get pushed out to other programs. Hope that helps clarify a bit. If it's still unclear I'd recommend submitting a support ticket to have someone from our team walk you through. Thanks for the question!

I was starting to come to that conclusion myself - that the workflow is unique to each program. It seemed like if you “choose” a workflow that there can be more than one. I'll submit a ticket to make sure I understand it properly though. Thank you.
