Best practices for GIK/Pledge/Trade gift entry

I've gone down a rabbit hole after discovering this is how it's done at this org and I am curious how others handle this.

Example1: Event in June. Linen Company XYZ is donating linen rental for the event and getting 2 tickets to attend in return. All gift/receipt amounts are entered as $0.

Example2: Event in September. Company 123 is going to get 4 complimentary tickets to attend.

  1. Is #1 really a GIK?
  2. Entered as Gift Type Pledge and Gift Code GIK since the event hasn't happened yet.

I found many historical "unpaid pledges" as a result of this entry method. Seems silly to have them unpaid, but also silly to enter a bunch of $0 payments.

FYI - We do not tie into Financial Edge or anything like that. We use only DB view (RE 7.96). We do not have the Events module.

    #1, IMO, could be considered a GIK. Correct, reciept amount $0. A reference or note would have details of 'linen rental, value, tickets…"

    #2, we don't enter pledges for GIK even if we are expecting them. Can see where you'd end up with some clutter on recods. Seems unnecessary to me.

  • So I would personally enter the first as a GIK donation for whatever the linen cost is (I assume they give you that value), making a note that they're receiving 2 tickets to the event for that donation. And then for comp tickets I'd have an entry of complimentary tickets with a $0 price. I wouldn't ever enter comp tickets as GIK since they aren't GIK donations, they're just receiving complimentary tickets.

    This may be different for you since you're not using the Events module. Though at my previous org, we used Greater Giving and tracked things the same way. Comp tickets were entered/sold as $0 so we could track the total number of tickets "sold."
