Using Projects to Track Spending of Restricted Grants/Donations

I thought using Projects would be a good way to track the spending of restricted grants/donations we receive directly in our accounting system instead of using excel spreadsheets to track the spend. When I decided to test one out I first had to go reverse & re-enter the entry from Raisers Edge so that the project was included in the JE. We purchased a fixed asset with funds & it is also showing in the Project but it is not reducing what we have left to spend. Was I completely off on what Projects could be used for, or am I missing some extra steps on how to make it track correctly?

    We use projects to track all funds that we hold at the OSU Foundation that support colleges and units at Oregon State University. All of these funds are considered restricted within our system. We also use projects to track our operations for the OSU Foundation, the OSU Alumni Association, the Oregon 4-H Foundation, and The Beaver Caucus.
