Reference ID Problem One-time Direct Debit Gifts through RE NXT Batch Gift Entry

Just about a year ago we began using RE NXT to set up new recurring gifts via both credit cards and direct debit with the hope of eventually phasing out an older product. We had figured out our reporting and reconciliation process for the finance office and things were going well.

Recently, however, we have seen an increase in calls from donors who want to make one-time gifts via a direct debit. Because of some internal gift processing policies, we would prefer to run these gifts as part of a batch in NXT. However, what we have discovered is that when direct debits are processed via batch gift entry the reference number that is produced and applied to the gift is formatted completely differently from gift run through the BBMS portal.

For example, a recent direct debit gift via batch gift entry returned a reference id of F3D7D29226051XXXXX (last five digits redacted); however, when run through the BBMS portal the reference id is usually a string of about 27 characters that begins with either py_ or ch_.

I wouldn’t care about the difference except when trying to generate reconciliation reports for any given date, I can’t find the unique reference number (F3D7D29226051XXXXX) anywhere on the transaction in BBMS. I know the system generates and applies a transaction ID to the gift record, but that field doesn’t seem to be exportable.

Has anyone experienced this and what was your work around. And is it possible to execute said work around with an API or Power Automate since those skills still remain out of grasp for me.

  • I must be selectively blind. I swear I have looked at the query field names dozens of times trying to solve this problem and not once did I see Payment Transaction ID (cloud icon). Exporting this should allow me to create a excel formula to help with my reconciliation.

  • I was wrong, even the Payment Transaction ID that exported from NXT is different from the Transaction ID exporting from BBMS.

    when you say "run these gifts as part of a batch in NXT". Do you mean in webview gift batch? or database view batch?

    if webview, check the gift page (after approve/commit of the gift batch) and see if you find the said "id" on the page under payment (py_ or ch_). If yes, then it's available, but not report/queryable. it will only be available via SKY API/Power Automate.
